## Plays That Work

**In short:** 5 outbound plays for call centers, each tied to a trigger you can spot.

**Outbound plays for call centers**

| Play | Channel | Trigger | Angle | Example first line |
| --- | --- | --- | --- | --- |
| Support jobs posted | Email | The company posted several customer service or support representative jobs at once. | Write to the Director of Customer Support offering trained agents for the open queue instead of recruiting and onboarding each hire. | [Company] has several support rep roles open, and we can staff that queue with trained agents while you decide how many to hire in-house. |
| Holiday or launch spike | Email | An ecommerce brand announced a big product launch or is heading into the holiday season. | Write to the Head of Customer Experience about a seasonal team that learns the brand's policies before the spike and scales down after it. | Before [Company]'s holiday rush, we can train a seasonal team on your return and shipping policies so your core team keeps its normal hours. |
| After-hours coverage | Email and LinkedIn | The company expanded into new regions or time zones, or its help page lists support during business hours only. | Write to the VP of Operations about night and weekend coverage under their brand without adding night shifts. | [Company]'s help page lists support until 5 p.m. Eastern, and we can answer calls and chats overnight and on weekends under your brand. |
| Rate change or enrollment period | Email | A utility announced a rate change or service migration, or a health care organization is heading into an enrollment period. | Write to the Contact Center Director about overflow agents trained on their scripts for the weeks the calls land. | With [Company]'s rate change notices going out, we can take overflow calls on your script so hold times stay down while customers ask questions. |
| Tier one for software support | Email and LinkedIn | A software company announced a funding round and its support team is still made up of engineers answering tickets. | Write to the Head of Customer Experience or Chief Operating Officer offering tier one coverage so engineers only handle escalations. | After [Company]'s funding round, we can take tier one tickets and calls so your support engineers only see the escalations. |

## Campaigns or 1:1 Accounts?

**In short:** With 74,983 buyers and a typical deal of $33,000-$200,000 (estimate), volume outbound in Campaigns fits best.

**Lane check for call centers**

| Check | Call Centers | Points to Accounts (Coming) when |
| --- | --- | --- |
| Typical deal (estimate) | $33,000-$200,000 (first-year contract value for one client program), midpoint $116,500 | Over $15,000 |
| Buyer companies in Ken's database | 74,983 | Fewer than 25,000 |
| Suggested lane | Campaigns | Both checks pass |

Ken's estimate: from half of one agent's time up to three full-time agents (2,080 hours a year each), billed at 1.5 times the BLS median customer service wage of $21.53 an hour. It assumes an onshore team.

Ken's view: when one deal is worth more than $15,000 and there are fewer than 25,000 buyers, each account is worth researching and writing to one by one. Otherwise volume wins: a Campaign of short email and LinkedIn sequences reaches more of the market for the same effort.

## Objections

**In short:** What buyers tend to say back to call centers, and how to answer.

**Objections call centers hear from buyers**

| Objection | How to answer |
| --- | --- |
| Outsourced agents won't know our product. | We train on your knowledge base first, and you can review calls from the first week. Start with one queue, such as order status, before handing over anything complex. |
| We tried outsourcing before and quality dropped. | Tell us what broke, whether it was accuracy, handle time or tone, and we'll write that into the contract as a scored metric with call reviews you can join. |
| We already have an in-house team. | Keep it. We can cover overflow, nights and weekends, so your team works the hours it is staffed for and we take the rest. |

## FAQ

### How do call centers get clients?

In Ken's view, most outsourced call centers win clients through referrals, partnerships with software vendors and consultants, and RFPs from larger companies. Outbound reaches mid-size companies earlier, when they post support jobs, launch products or extend their hours, before they run a formal RFP.

### Who should we write to at a prospective client?

Write to whoever owns support metrics: the Head of Customer Experience, Director of Customer Support or Contact Center Director. At smaller companies, the Chief Operating Officer or VP of Operations often owns support and signs the contract.

### How should we price our first proposal?

Start from labor cost. BLS put the median hourly wage for customer service representatives at $21.53 in May 2025, and your rate has to cover that plus training, supervision, software and margin. Quote per hour or per agent for dedicated teams, and per minute or per contact for shared overflow.

### What does the CAN-SPAM Act require of a cold email?

In the US, the CAN-SPAM Act covers commercial email, and the FTC says it makes no exception for business-to-business email. Its requirements: no false or misleading header information, no deceptive subject lines, identify the message as an ad, include your valid physical postal address, tell recipients how to opt out, honor opt-outs within 10 business days, and monitor anyone who sends email on your behalf. Other countries have their own rules. This is general information, not legal advice.
