# No-Show Follow-Up Email Templates

Email the same day with two new times or a booking link and no guilt. Send something useful on day 2 and a short close on day 5. The 7 templates below cover missed calls, inbound demos and second meetings.

## Template 1 as a Ken Sequence Step

### Ken sequence step

Query: Sequence step 1 - No-show follow-up email

| Field | Value |
| --- | --- |
| Subject | New time for our call |
| Body preview | Looks like today didn't work out, no problem. Want to pick a new time? [time option one] or [time option two] both work on ... |
| Variables | {firstName}, {sender_first_name} |
| You write | [time option one], [time option two], [booking link] |

Template 1 below, "The same-day reschedule", set up as the first step of a Campaigns sequence.

Action: [Use this template in Ken](/waitlist) (cost: AI personalization: 300 credits per 1,000 contacts)

## When to Use

**In short:** Send it the same day a prospect misses a meeting, while their reason for booking is still fresh.

- A prospect from a cold sequence booked a call and didn't show.
- An inbound lead booked a demo from your site and missed it.
- A second meeting, such as a technical review or a proposal walkthrough, didn't happen.
- Someone missed twice: send one short note with a booking link and stop.

## Templates

**In short:** Copy any of the 7 templates below, replace each [bracketed] part and cut any line that isn't true for you. Ken fills the {firstName}-style variables.

> **Variables**
>
> The templates use Ken's editor syntax. Ken fills {firstName}, {company} and {industry} from each contact and {sender_first_name} from the sending inbox.
> {{First Line}} is an AI variable. Ken's AI personalization writes it for each contact from the prompt of that name. To cover an empty field, add a fallback after a pipe, such as {firstName|there}.
> Replace every word in [brackets] with your own before you paste.

> **Your signature**
>
> For cold and other commercial email, put your postal address and a one-line opt-out in the signature under {sender_first_name}, such as "Reply stop and I won't email again." The FTC's CAN-SPAM guide requires both, B2B email included.

Template 1: The same-day reschedule

```text
Subject: New time for our call
Hey {firstName},
Looks like today didn't work out, no problem. Want to pick a new time?
[time option one] or [time option two] both work on my side, or grab any slot here:
[booking link]
{sender_first_name}
```

Why it works: It assumes a good reason and offers two specific times plus a link, so rebooking takes one reply.

Template 2: The inbound demo no-show

```text
Subject: Your [product name] demo
Hey {firstName},
You booked a demo of [product name] for today, and I'm guessing something came up.
Want me to send a short recorded walkthrough instead, or pick a new time here?
[booking link]
{sender_first_name}
```

Why it works: Inbound leads already want to see the product, so a recording or a new slot keeps their interest from cooling.

Template 3: The second-meeting no-show

```text
{firstName},
We missed each other for the [meeting type] today. [teammate] still has the [deliverable] ready to walk through.
Would [day option] at the same time work?
{sender_first_name}
```

Why it works: Mentioning the work that's ready to show reminds the buyer the deal was moving, without blaming anyone for the miss.

Template 4: The useful second email

```text
{firstName},
Since we didn't get to talk, here's the part I was going to show you: [key insight].
If it's useful, I can walk you through the rest on [day option]. Does that work?
{sender_first_name}
```

Why it works: Sharing what the call would have covered shows the meeting is worth rebooking.

Template 5: The smaller-meeting offer

```text
{firstName},
If the full call was hard to fit in, I can do a shorter version that covers just [one topic].
Want that on [day option]?
{sender_first_name}
```

Why it works: Offering a smaller version of the meeting lowers the cost of saying yes for a busy prospect.

Template 6: The short close

```text
{firstName},
I'll keep [topic] off your plate for now. If it moves up the list, this link books a time with me any day:
[booking link]
{sender_first_name}
```

Why it works: It removes the pressure and leaves a standing link, so the prospect can come back on their own timing.

Template 7: The right-person check

```text
{firstName},
We didn't connect today. If someone else at {company} owns [topic] now, who should I talk to?
{sender_first_name}
```

Why it works: Owners can change between booking and the meeting, and a one-line ask turns the reply into a single name.

## Timing

**In short:** In Ken's view, 3 emails: a reschedule the same day, something useful on day 2 and a short close on day 5.

**No-show follow-up email cadence**

| Day | Step | Goal |
| --- | --- | --- |
| Same day | Reschedule (templates 1-3) | Rebook with two times or a booking link |
| Day 2 | Useful second email (template 4 or 5) | Show what the call would have covered |
| Day 5 | Short close (template 6) | Leave a standing link and stop |

Days count from the missed meeting. This is Ken's view, built on the 2-4 day gaps in Ken's sequence guide. If they rebook and miss again, send one short note with a link and stop.

## Examples

**In short:** 3 filled-in versions for property management software, veterinary practice software and commercial printing, all with fictional companies.

Brackwater Property Software is a fictional company. An SDR at a property management software company emails a regional property manager who missed a booked discovery call.

Example: Property management software

```text
Subject: New time for our call
Hey Jamal,
Looks like today didn't work out, no problem. Thursday at 2 or Friday at 11 both work on my side.
Which one is better for you?
Lena
```

Fernhollow Vet Software is a fictional company. An account executive at a veterinary practice software company emails a clinic owner who booked a demo from the website and missed it.

Example: Veterinary practice software

```text
Subject: Your Fernhollow demo
Hey Sofia,
You booked a demo of Fernhollow for today, and I'm guessing a patient came first.
Want me to send a short recorded walkthrough of the scheduling and reminders instead, or pick a new time this week?
Daniel
```

Inkwell Ridge Print is a fictional company. A sales rep at a print company writes to a retail marketing director who missed the proposal review for a catalog job.

Example: Commercial printing

```text
Gwen,
We missed each other for the proposal review today. Our production lead still has the sample run of your spring catalog ready to walk through.
Would Tuesday at the same time work?
Rafael
```

## Mistakes to Avoid

- Guilt-tripping. "I waited 15 minutes" puts the reader on the defensive; assume a good reason and offer a new time.
- Waiting days to reach out. The reason they booked is freshest the same day, so send the reschedule within hours.
- Sending only a booking link. Two specific times make the reply one word; a bare link asks the reader to do the scheduling.
- Writing "just checking in" on day 2. Send what the call would have covered instead, so the email is worth opening.
- Chasing past 3 emails. If they don't rebook after the close, stop and leave the link with them.

## FAQ

### What do you say when a prospect doesn't show up for a meeting?

Assume a good reason, skip the guilt and offer two new times or a booking link in the same email. Keep it to two or three short lines.

### How soon should you send a no-show email?

The same day, ideally within a few hours of the missed time. In Ken's view, send something useful on day 2 and a short close on day 5.

### How many times should you follow up after a no-show?

3 emails in total is Ken's view: the reschedule, a useful second email and a short close. After that, stop and leave a booking link they can use later.

### What subject line should a no-show email use?

Something plain, such as "New time for our call" or the name of the meeting. Avoid "You missed our call" lines that read like a complaint.
