Plain text, as the recipient sees it

Hi Sam,

I saw your team is hiring two SDRs this quarter. We help teams like yours book more meetings without hiring more reps. Worth a short chat?

Thanks,

What the signature generator does

It builds two kinds of signature. The HTML signature has a layout, a photo or logo, social links and contact details, with a live preview in Gmail and Outlook styles. The plain-text cold email signature follows deliverability rules: no images, at most one link and no tracking.

Everything runs in your browser. Copy the result or download it, then install it with the guide for your email client.

Why cold email signatures should be plain

Images make a first-touch email look like marketing, add weight to every message and load from an outside server, which some filters treat like tracking. Every link is one more domain for a filter to judge. A signature with a logo, four social icons and a booking link can carry more links than the email itself.

The cold signature keeps what a prospect needs: name, title, company and one way to reach you. Save the full HTML version for replies and existing customers.

How to install it

  • Gmail: Settings, See all settings, General, Signature. Paste it in and save at the bottom of the page.
  • Outlook on the web and new Outlook: Settings, Account, Signatures.
  • Classic Outlook for Windows: File, Options, Mail, Signatures.
  • Apple Mail: Settings, Signatures, then pick the account.
  • Yahoo Mail: Settings, More Settings, Writing email, Signature.

Gmail limits signatures to 10,000 characters, and HTML with inline styles uses that up faster than you'd think. Keep the layout simple.

Why it matters for cold email

The signature goes out with every message from every inbox, so a heavy one repeats its images and links thousands of times a day. Use the same plain format across your sending inboxes and change only the name and title.

Ken stores a signature per sending inbox and inserts it with the {{sender_signature}} variable, so each inbox signs as the person it belongs to.

Questions

Should a cold email signature have a logo?
No. An image makes a first email look like marketing and adds a request to an outside server. Use your name, title, company and one link or phone number. Add the logo in replies if you like.
How many links should a cold email signature have?
One at most, to your website, or none. Skip social icons and booking links in the first email. Each link adds a domain for filters to check, and tracked links swap your domain for the tracking domain.
How do I add an HTML signature in Gmail?
Copy the generated signature, then in Gmail open Settings, See all settings, General, and paste it into the Signature box. Save at the bottom of the page. Images only show if they're hosted at a public URL.
Why does my signature look broken in Outlook?
Classic Outlook for Windows renders HTML with Word's engine, which ignores much modern CSS. Signatures built from tables with inline styles hold up best. Avoid background images, web fonts and CSS layout tricks.
What should a plain-text email signature include?
Your name, your title and company, and one contact detail, such as a website or phone number. Two to four lines is enough. Many mail clients recognize a line with two dashes and a space as the start of a signature and trim it in replies.
