AI notetaker

An AI notetaker is software that joins or records your meetings, transcribes the conversation, and uses AI to produce a summary, action items and key details, often syncing them to a CRM or shared workspace afterward.

What Is AI Notetaker?

In short Notetakers capture audio in one of two ways: a bot joins the Zoom, Google Meet or Microsoft Teams call as a participant, or an app records on your device.

Speech-to-text turns the audio into a transcript with speaker labels, and a language model writes the summary, decisions and next steps, often into a template you choose. Google Meet and Teams also offer built-in notes and transcription on some plans.

For sales teams, the value is in what happens after the call: notes land on the CRM record without typing, the follow-up email is drafted from what the buyer actually said, and a manager can review a deal's calls without attending them. Sales-focused notetakers also pull details such as budget, timeline and decision makers into CRM fields.

AI Notetaker Example

For example, an account executive runs 18 discovery calls a week. The notetaker writes each summary to the CRM within minutes, fills the next-step field and drafts the follow-up email. The rep stops typing notes during calls, and the manager reviews three calls per rep every Friday from the transcripts instead of sitting in.

AI Notetaker in Practice

Recording rules apply. In California, for example, all parties to a confidential conversation must consent to being recorded, and other states and countries set their own rules. Built-in tools notify people: Google Meet tells all participants that notes are being taken, and Teams shows a banner when recording or transcription starts. Set a policy for external calls and say at the start that the call is recorded.

FAQ

Do AI notetakers need consent from everyone on the call?

It depends on where the participants are. Some places, such as California, require consent from all parties to record a confidential conversation. The safe practice is to announce the notetaker at the start and let anyone opt out.

How do AI notetakers work?

They join the call as a bot or record on your device, transcribe the audio with speaker labels, and use a language model to write a summary, action items and key details.

Does Google Meet have a built-in AI notetaker?

Yes. Google Meet's Take notes for me feature writes meeting notes on eligible Google Workspace editions or Google AI plans, and Meet informs all participants that notes are being taken.

What is the difference between an AI notetaker and conversation intelligence?

A notetaker serves the person on the call with notes and follow-ups. Conversation intelligence analyzes every call a team makes for coaching, deal risk and messaging trends.
