Workflow automation
Workflow automation is the use of software to run a multi-step business process by rules, where a trigger such as a new form submission starts a chain of actions across apps, like updating a record, sending a message or assigning a task.
What Is Workflow Automation?
In short Every workflow has a trigger (an event or a schedule), actions (steps in one or more apps) and logic (conditions, branches, delays and loops).
Microsoft's Power Automate docs put it simply: a trigger is the event that starts a flow, and actions are what the flow does after it. Tools such as Zapier, Make, n8n and Power Automate connect apps through their APIs and webhooks, so you can build a workflow visually instead of writing code.
Workflow tools now add AI steps: a language model classifies a reply, summarizes a call or researches a company in the middle of an otherwise rule-based flow. The difference from an AI agent is control. A workflow follows the path you drew, while an agent picks its own. Use workflows for anything that must happen the same way every time and agents for open-ended work.
Workflow Automation Example
For example, a workflow starts when someone submits the demo form. It enriches the company, routes companies over 200 employees to an account executive and the rest to an SDR round robin, creates the CRM record and posts to Slack. The team's lead response time drops from about 4 hours to 5 minutes.
Workflow Automation in Practice
GTM teams automate lead routing, enrichment on signup, CRM hygiene, handoffs from SDR to account executive, meeting follow-ups and alerts on buying signals. Start with a process that already works by hand, write its steps down, then automate it. Give each workflow an owner and error alerts so failures do not go unnoticed for weeks.
FAQ
What is the difference between workflow automation and business process automation?
Workflow automation automates a specific sequence of tasks. Business process automation is the broader umbrella for automating whole processes across a company, and it includes workflow automation.
What is an example of workflow automation?
A demo request arrives, and the workflow enriches the company, routes it to the right rep by company size, creates the CRM record and posts an alert to Slack without anyone touching it.
What is the difference between workflow automation and an AI agent?
A workflow follows fixed steps you define. An AI agent decides its own steps toward a goal. Many teams combine them: a fixed workflow with an AI step for classification or writing.
What is a trigger in workflow automation?
The event that starts the workflow, such as a form submission, a new CRM record, an incoming email or a schedule. The actions are the steps that run after it.
The new Ken opens to the waiting list in batches.
