Plays That Work

In short 4 outbound plays for accountants, each tied to a trigger you can spot.

Outbound plays for accountants
PlayChannelTriggerAngle
Funding round closedEmail and LinkedInThe company announced a seed or Series A round in the press or on its own blog.Write to the CEO or CFO after a raise about the reporting investors now expect: a monthly close, a board package and books that will hold up in an audit.
Example first lineAfter a round like [Company]'s, investors start asking for monthly financials and a clean close, and we set that up for venture-backed teams without a full-time CFO.
Controller job postedEmailA job posting for a CFO, VP of Finance or controller appears on job boards or the company's careers page.Write to the CEO when the company posts a CFO or controller role, and offer outsourced CFO work while the search runs or in place of the hire.
Example first lineSaw [Company] is hiring a controller, and while you search we can run the monthly close and reporting so nothing slips during the gap.
Hiring in a new stateEmailThe company announced a new location, or started posting jobs based in a state where it had no employees.Write to the Controller or owner when the company starts hiring in another state, about state registrations, payroll tax accounts and multistate income tax filings.
Example first lineWith [Company] hiring in a second state, there are new payroll tax accounts and state returns to set up, and we handle that for growing companies every quarter.
Acquisition announcedEmailThe company announced it acquired another business, in a press release or the local business press.Write to the CFO or owner of the buying company about merging the books, purchase accounting and the first combined tax return.
Example first lineCongrats on the acquisition, and before the first combined year closes, [Company] will need the two sets of books merged and the purchase accounted for correctly.

Ken's estimate: a business tax return at $1,000-$1,499 plus 12 months of bookkeeping and accounting at $250-$499 a month, the most common fee ranges in Ignition's 2025 survey of 219 US accounting firms. Outsourced CFO work runs higher, most often over $2,500 a month in the same survey.

Ken's view: when one deal is worth more than $15,000 and there are fewer than 25,000 buyers, each account is worth researching and writing to one by one. Otherwise volume wins: a Campaign of short email and LinkedIn sequences reaches more of the market for the same effort.

We already have an accountant.Keep them for what works. If your monthly numbers arrive late or nobody plans taxes before year end, that is the piece we would take on.
We only need someone at tax time. Then start with the return. Clean books during the year also keep that bill down, since 67% of firms in the National Society of Accountants' 2024 survey charged extra for disorganized files.
Your fees are higher than our current firm's.Send the engagement letter you have now. We will price the same scope so you can compare the two line by line.

FAQ

How do accountants get clients?

Referrals still carry most small firms. In the National Society of Accountants' 2024 survey of 183 practices, 83% used word-of-mouth referrals. Outbound adds businesses that do not know you yet, timed to events that create accounting work, like a funding round, an acquisition or hiring in a new state.

Can CPA firms send cold email to businesses?

Each state board of accountancy sets its own solicitation rule for CPAs, so check yours. Washington's rule, for example, bars a licensee in public practice from seeking clients through advertising or solicitation that is false, misleading or deceptive, and prohibits solicitation by coercion, over-reaching or harassing conduct. The federal CAN-SPAM Act also applies to commercial email, including business-to-business email. This is general information, not legal advice.

What should a CPA firm put in the first email?

Name the event you saw and the one piece of work it creates, such as state payroll registrations after a first hire in another state. Keep it short, offer a 15-minute call, and leave out the list of every service you offer.

How long does it take to win a business client?

Timing matters more than company size. Companies tend to switch accounting firms at a natural break, such as after a return is filed or before a new fiscal year. When a business says not now, ask when the current engagement ends and follow up then.

What does the CAN-SPAM Act require of a cold email?

In the US, the CAN-SPAM Act covers commercial email, and the FTC says it makes no exception for business-to-business email. Its requirements: no false or misleading header information, no deceptive subject lines, identify the message as an ad, include your valid physical postal address, tell recipients how to opt out, honor opt-outs within 10 business days, and monitor anyone who sends email on your behalf. Other countries have their own rules. This is general information, not legal advice.
