What the agency pricing calculator does

It tells an outbound agency what to charge each client and what margin it keeps. Enter the number of clients, the leads you contact for each client a month, the channels and the hours your team spends per client. Set the margin you want, the hourly cost of your team and, if you have one, the retainer you charge today.

The platform cost uses Ken's real prices: one Platform plan covers every client workspace, so the plan fee is shared across clients and only the credits scale with volume.

How to read the result

The retainer card shows the price to charge per client and the price per booked meeting it implies. The split bar breaks the retainer into platform cost, labor and profit.

  • Recommended retainer = (platform cost + labor) / (1 - target margin).
  • Margin at current shows what your existing price earns, so you can see if you are undercharging.

How to use it

Count hours honestly: strategy, copy, list building, reply handling and reporting all go in. Run it at your current client count and at the count you are aiming for, because the shared plan fee makes each client cheaper to serve as you grow. Use the per-meeting price to check the retainer against what a meeting is worth to your client.

Why it matters for agencies

Retainers are often set by looking at competitors, then margin is whatever is left. Pricing from cost up shows the floor below which a client loses you money. It also shows how much of your margin depends on hours, which is usually the line to fix first.

Questions

How much should an outbound agency charge per client?
Enough to cover platform cost and labor at your target margin. The calculator gives that number from your inputs. Check it against the meetings it implies, because a client compares your retainer with what a meeting is worth to them.
How do I calculate my agency's margin?
Margin = (retainer - cost) / retainer, where cost is your platform share plus the labor hours times your hourly cost. A $4,000 retainer with $2,000 of cost is a 50% margin.
What is the difference between margin and markup?
Margin is profit as a share of the price. Markup is profit as a share of the cost. A 50% margin is a 100% markup. The calculator prices for margin.
Should I charge a retainer or per meeting?
A retainer gives you predictable revenue and fits clients who value the whole program. Per-meeting pricing is easier to sell and puts the risk on you. The calculator shows both numbers, so you can pick one or blend them.
Does it have presets for different agency types?
Yes: digital marketing, sales and GTM, PR and communications, and video production agencies, each with starting values you can change.
