What the sales forecast does

It builds a monthly revenue forecast two ways.

  • Pipeline mode: drop a CRM export with deal, stage, amount and close date. Set a probability per stage and get a weighted forecast by month, with commit, best and worst cases.
  • Outbound mode: enter planned monthly sends and get the meetings, pipeline and revenue outbound adds over the next 6 to 12 months, from published benchmark rates.

The CSV is parsed in your browser and never uploaded. HubSpot, Salesforce, Pipedrive, Attio and Close exports map on their own.

How to read the forecast

The chart shows the weighted forecast by month and the table lists weighted, commit, best and worst for each month.

  • Weighted: each deal's amount times its stage probability.
  • Commit: the full amount of deals in stages at 75% or more.
  • Best case: the full amount of deals in stages at 25% or more.
  • Worst case: commit deals at their probability.

Deals with a close date before the start month count in the first month and are listed as overdue. Stages with no probability count as zero and are listed so you can set them.

How to use it

Export open deals from your CRM, drop the file and check the stage list. Replace the default probabilities with your historical win rate from each stage if you have it. Clean up overdue deals before you share the forecast, because a deal that should have closed last month inflates this one.

Why it matters for outbound

A pipeline forecast only shows deals you already have. If the gap to target is bigger than the pipeline, the outbound mode shows how many sends it takes to fill it, and when that pipeline turns into revenue given your sales cycle. That makes it a hiring and budget question you can answer with numbers.

Questions

What is a weighted pipeline forecast?
The sum of every open deal's amount multiplied by the probability of its stage. A $10,000 deal at a 40% stage adds $4,000 to the forecast. It is a better estimate than the raw pipeline total, which assumes every deal closes.
What probabilities should I use for each deal stage?
Your own historical win rate from each stage is best. If you have none, HubSpot's default pipeline is a common start: Appointment scheduled 20%, Qualified to buy 40%, Presentation scheduled 60%, Decision maker bought-in 80%, Contract sent 90%, Closed won 100%, Closed lost 0%.
What is the difference between commit, best case and worst case?
Commit counts deals you are confident in at full value. Best case adds deals that could close if things go well. Worst case takes only the committed deals and discounts them by their probability, which is the number to plan costs against.
Is my CRM export uploaded?
No. The file is read in your browser and the forecast is computed there. If you email yourself the forecast, it carries the monthly totals, never the deal rows.
How does the outbound forecast work?
It runs your planned sends through published reply, positive reply and meeting rates, then applies planning defaults for show, opportunity and win rate (80%, 50% and 20%, not Ken benchmarks). Revenue is placed after your sales cycle. The page labels these as benchmark-based, because your rates will differ.
