What the company name cleaner does

It turns the legal name in your data into the name a person would write. "NORTHWIND LOGISTICS LLC" becomes "Northwind Logistics", and with descriptor stripping on, "Acme Technologies, Inc." becomes "Acme".

  • Strips legal suffixes across countries: Inc, LLC, Ltd, GmbH, S.A., Pty Ltd, B.V., AG and more.
  • Drops a leading "The", taglines after a | or a dash, domains and emojis.
  • Fixes shouting case while keeping known acronyms such as IBM.
  • Optionally removes descriptors like Technologies, Solutions or Group.

How to read the result

Each row shows the original name next to the cleaned one. Rows the rules could not settle are marked Check instead of guessed. With descriptor stripping on, a name made mostly of descriptors gets short: "Global Solutions Group" becomes "Global", so read the short results before you send.

How to use it

Paste one name, a list with one name per line, or drop a CSV and pick the company column. Turn descriptor stripping on for first lines and off for anything legal, such as invoices or contracts. Download the result, or copy the cleaned column back into your sheet. The cleaned value goes into a new column so the original stays available.

Why it matters for cold email

The {{company}} tag usually lands in the first sentence, which is the part the reader sees in the inbox preview. "I saw ACME TECHNOLOGIES, INC. is hiring" reads like a database wrote it, because one did. People notice, and a reply rate built on personalization falls apart when the personalization looks automated.

Questions

How do I remove Inc, LLC and Ltd from company names?
Paste the names here and the suffixes go, along with the comma or period before them. In a spreadsheet you would need a nested SUBSTITUTE or a regex formula per suffix, and it still misses country forms like GmbH, S.r.l., Pty Ltd or K.K.
Will it break names where the suffix is part of the brand?
It only strips a suffix at the end of the name, after the brand. Words in the middle stay. Known exceptions keep their form, and anything ambiguous is marked for review rather than changed, so check those rows before you send.
Does it keep acronyms like IBM or KPMG?
Yes. Casing is only fixed for names written in all caps or all lowercase. Known acronyms such as IBM and KPMG stay as they are, and so does any all-caps name of three letters or fewer. A longer one-word name in all caps, like ACME, is kept and marked Check so you can decide.
Should I strip words like Technologies or Group?
For a first line, usually yes: people say "Northwind", not "Northwind Technologies". Keep them when the short form is ambiguous or matches another company, and for any document where the full legal name matters.
Does Apollo already give a clean company name?
Apollo exports include a "Company Name for Emails" column that is often cleaner than the legal name. It is still worth a pass, because it can carry the same casing and suffix problems: drop the file and pick that column here.
